I wouldn't worry about a rush on homebrew or dwindling supplies if all we are giving out is samples. If the Beer festival in Copenhagen has taught me anything it's that 30ml of beer is plenty to taste it.

I also think that food would be an added complication that we really don't need.

From an organising point of view, and in my own experience, KEEP IT SIMPLE.

I wouldn't worry about food either, except pre-prepared cold dishes.

As for traveling with stock to cork, maybe one of the admin folks could organise with the Well delivery staff for homebrew to be collected from B&C at the same time of us recieving delivery from them. Easy.

Posters.
We've seen some funky labels created recently for homebrew tasting sessions, surely a poster is a small step up in design terms, and i know a very reasonably priced printing company, who might help us out cost wise.

I think I'd ask the hosts about this as they know far more about promoting successful events. But if we need to get them printed ourselves, that's good to know.

Incidentally, AFAIK ICB doesn't have any money any more. Fortunately, all of your families need t-shirts for Christmas. Layers of them, in fact.

I need to go over the accounts again (they've been locked away on a hard drive since I moved), but there's probably only a little left from the generous donations last year after I payed for some new stuff in preparation for the site upgrades which are still waiting on last pieces.

Aprons make a perfect gift! I wear mine all the time! <!-- s:D --><img src="{SMILIES_PATH}/icon_biggrin.gif" alt=":D" title="Very Happy" /><!-- s:D -->

I'll be tidying up the shop over the next week to get it ready for the Christmas rush. If people have requests for items, let me know!

And back on topic, thanks to the 'Well for their very generous offer.

I would be up for helping out.
I agree with most of the posts so far, Keep it simple and focused on the brew process, samples are great but should be kept as a sideline to the exhibition / demonstration so that tasting can be suspended to suit our hosts main business times. Exhibitions can continue without tastings!

Would it be possible to set up such that a batch could be produced at the event with a view to our hosts dispensing it at a post event event?

I can bring a Cask of something & Handpump if needed?

I guess it depends on issues like whether their brewer's licence confines them to the brewhouse, or whether stuff brewed in the yard and left to ferment in the brewhouse is covered.

Thanks for your support, everyone. I guess the next step is to start tying down details with the Franciscan Well, starting with the date. Is "some weekend in May" a fair enough starting point? Can any of the volunteers so far not do May?

Also, Bugno and Hmmm_Duff, are you interested in being present at this? If we could send people home with the actual gear as well as the expertise and enthusiasm, it would be fantastic.
